What the platform manages
- Asset, package and resource management. All equipment, categories, bundles, maintenance records, pricing, and their locations are stored in one system. This provides a clear overview of available items, their locations, technical assistance availability (e.g., crane operators, high-end camera operators), and rental costs based on client demand.
- Quotation to booking lifecycle. Sales quotes for equipment, packages, transport, and crew turn into bookings with one click. The system checks availability and reserves inventory automatically.
- Dispatch and movement execution. Outbound dispatch, transfers between stores, and direct site-to-site moves use barcode and serial scanning. Partial returns are handled without sending every asset back to the main warehouse first.
- Vendor sub-lease and margin protection. When you use third-party equipment, the system tracks vendor payments, due dates, notes, and margins for each booking. This way, you see the real profit on every sub-leased job.
- GST-compliant invoicing and collections. Proforma and final invoices include the correct CGST, SGST, and IGST splits. Customer payments are matched to invoices, and outstanding balances are tracked by age.
How it works
You create a quotation using available assets, packages, resources and transport. Once approved, it becomes a booking, and the system reserves the inventory to prevent double bookings. On dispatch day, assets are scanned out, and their movement is tracked. When the rental ends, returns are logged, either back to the warehouse or directly to the next site, with condition and partial returns recorded. Invoicing and payments are managed until the booking is closed.
Intelligence Layer
Geofence enforcement is available for tracked equipment. The system uses QwickSoft’s proven boundary detection to monitor rented assets. If an item crosses an unauthorised boundary, the system detects it and sends alerts right away, so you don’t have to rely on someone noticing it’s missing.
Equipment maintenance forecasting uses QwickSoft’s predictive model, just like the feature provided for Fleet and Vehicle Management. The system looks at usage, service history, and age to predict when equipment will need maintenance. This helps prevent breakdowns during rentals or equipment arriving at a site already needing service.
